Collaborative Care - How to manage the Inbox
What is the Inbox?
The right-hand side of the Mirah dashboard shows the Inbox. The inbox holds notifications about something that's happened in the Mirah system that you may need to respond to, such as new assessments being filled out by patients. Mirah will create these notifications automatically to alert you to a condition relevant your work. As you work through these findings, they may create tasks for you, which will show up on the left-hand side of the dashboard. Your care team should make it a goal to work towards "inbox zero", or clearing all the notifications out on a regular basis. Reviewing reports is a core part of managing a patient population in collaborative care, so making sure that the notifications are handled promptly is important.
Right now there's only one sort of notification that will appear here, but Mirah may add more in the future as we find better ways to help you work with your patients.
All providers in your Mirah instance see the same notifications in the inbox. Notifications are shown to everyone regardless of whether you're assigned as the care manager or PCP for a patient or not. Removing a notification from the inbox will remove it for everyone.
The "Assessment Needs Review" notification
This notification lets you know that a patient or related person has filled out an assessment and no one has looked at the data in Mirah yet. Reviewing patient survey data in a timely manner is a core part of managing your patient population, so Mirah will notify you whenever new data is available.
What causes this notification to appear
Mirah will create a new Assessment Needs Review notification whenever
- A patient (or related person) has completed a survey
- A patient (or related person) has answered some but not all questions on a survey, and the window for survey completion has closed. For most Mirah customers, this will be three weeks after the survey was first sent.
When a notification is created because of a related person's survey, it will be listed under the patient's name, since survey data from related people is shown on the patient's report.
As long as the notification remains in your inbox, additional survey completions related to the same patient will not create duplicate notifications. For example, if a patient and two parents are each sent a survey on Monday and all three fill them out that evening, you'll only have one notification for the patient on Tuesday morning.
If the notification for a patient leaves your inbox (see the next section) and additional surveys are completed, you'll get another notification to remind to look at the new data that's come in. For example, if only one parent filled out their survey Monday evening and you reviewed the partial report Tuesday morning, you'd get a second notification on Wednesday when the other parent finished their assessment.
How to respond to this notification
The Assessment Needs Review notification can be removed from your inbox either manually or automatically. To remove it manually, use one of the buttons at the bottom of the card (explained in detail below). The notification will be removed automatically if any provider views the patient's report.
If you want to look at the report immediately, the Start Task and View Report button will create a task named "Assessment Needs Review" at the top of your My Tasks list, start tracking time against it and take you to the patient's report.
If you want to leave yourself a reminder to view the report later, the Create as Task for later button will create a task named "Assessment Needs Review" at the top of your My Tasks list.
Finally, if this report doesn't need to be looked at, the Dismiss button will remove it from the inbox entirely.
The “Open Assessment Incomplete for 7 Days” notification
This notification lets you know that a patient or related person was sent a measure at least 7 days ago and has not completed it. The notification also lists all measures which were sent to give additional context to the care manager.
What causes this notification to appear
Mirah will create a new “Open Assessment Incomplete” notification whenever
- A patient (or related person) has been sent a measure at least 7 days ago and has not completed it
When a notification is created because of a related person's incomplete survey, the text will reflect that.
How to respond to this notification
The “Open Assessment Incomplete” notification can be removed from your inbox either manually or automatically. To remove it manually, use one of the buttons at the bottom of the card (explained in detail below). The notification will be removed automatically if the patient completes the measure or the measure response window closes.
The actions at the bottom of the card do the following:
View Measures: This creates a task titled “Administer Assessments” or “Administer Caregiver Assessments”, starts tracking time against it, and redirects to the patient detail page where the user can decide what measures to administer. The notification will be removed from the inbox after clicking this button.
Send Notification: This will re-send the notification to the patient or caregiver, prompting them to complete the assessment. This will hide the notification until the start of the following day. If the assessment is completed while the notification is hidden, it will not re-appear.
Create Task: This creates a task titled “Ensure Assessment Completion” and adds it to the top of your task list. The notification will be removed from the inbox after clicking this button.
Dismiss: The notification will be removed from the inbox after clicking this button. No other action occurs.
The ‘Monthly Assessment Incomplete“ Notification
This notification alerts you that no measures have been completed for a given patient in this current month, either by the patient themselves or by a caregiver. This notification can only appear once per month per patient.
What causes this notification to appear
Mirah will create a new “Monthly Assessment Incomplete” notification whenever
- It is 5 or less business days before the end of the month AND a patient has not completed any measures that calendar month. This includes their caregivers and their measures.
How to respond to this notification
The “Monthly Assessment Incomplete” notification can be removed from your inbox either manually or automatically. To remove it manually, use one of the buttons at the bottom of the card (explained in detail below). The notification will be removed automatically if the patient or one of their caregivers completes a measure or if the month ends.
The actions at the bottom of the card do the following:
View Measures: This creates a task titled “Administer Assessments”, starts tracking time against it, and redirects to the patient detail page where the user can decide what measure(s) to administer. The notification will be removed from the inbox after clicking this button.
Send Notification: This will re-send all notifications to the patient and their caregivers, prompting them to complete any open assessments they may have. This will hide the notification until the start of the following day. If any assessment is completed while the notification is hidden, it will not re-appear.
Create Task: This creates a task titled “Ensure Monthly Assessment Completion” and adds it to the top of your task list. The notification will be removed from the inbox after clicking this button.
Dismiss: The notification will be removed from the inbox after clicking this button. No other action occurs. This notification will not occur again this month.
